General Terms and Conditions

Fees

Fees are always presented VAT included, if applicable.

VAT

Under EU Customs and Exsise Regulations, delegates from all countries are required to pay VAT on any event taking place in the EU. Information on how to claim back VAT is available via the symposium secretariat.

Online Registration

You will always receive a confirmation of your booking. An automatic reply will immediately follow an on-line registration and in the subsequent business days a complete confirmation will follow once your registration has been processed by our secretariat. If you do not receive anything, please send an e-mail to secretariat@LDOrganisation.com to make sure that we have received your booking. Within two weeks from the confirmation, an invoice for your participation will be sent by our accounting department. Please notify any corrections to your registration immediately.

Payment

If possible, please use the on-line payment opportunity while registering on-line for the symposium you want to attend. Otherwise, please check the alternative payment possibilities in the symposium webpages. If no information is available, payments, net of all bank costs, should then be made to the symposium secretariat LD Organisation:

Collective remittances should always be accompanied by a list of names.

Refunds

In case an abstract is not accepted for presentation at the symposium, no cancellation fee will be due. For the other cases the cancellation policy applies.

Participants' Cancellation Policy

Substitutions may be made at any time, by advising the Symposium Secretariat secretariat@ldorganisation.com by written notice of any change of name. Cancellations should be sent by written notice to the Symposium Secretariat, and cancellation fees will apply as follows: Cancellation notice prior to 60 days before the start of the event: registration fees will be refunded, less €125,00 processing charges (these charges are reduced to 40% of the payment in case the registration fee is less than €125,00)
Cancellation notice between 60 days and 30 days prior to the start of the event: 50% of the registration fees will be due, with a minimum of €125,00 (except when the registration fee is less than €125,00)
Cancellation notice less than 30 days before the start of the event: no cancellation refund can be given

Exhibitors’ Cancellation Policy

Cancellations should be notified by written notice to the Symposium Secretariat.

The following cancellation charges will apply:
Cancellation notice prior to 60 days before the start of the event: 50% of the total fees paid or payable by the Exhibitor
Cancellation notice between 60 days and 30 days prior to the start of the event: 75% of the total fees paid or payable by the Exhibitor Cancellation notice less than 30 days before the start of the event: 100% of the total fees paid or payable by the Exhibitor
Any outstanding payments should be paid within 14 days of the cancellation confirmation email sent by the Symposium Secretariat.

Data Protection

The personal information provided by you will be held on our database. It may be used to keep you up-to-date with developments in your industry and the conferences organised by LD Organisation. Sometimes your details may be obtained from, or made available to external companies for marketing purposes. Liability and Insurance

Neither the Organisers nor LD Organisation will assume any responsibility whatsoever for any damage or injury to persons or property during the symposium. The participants are recommended to arrange their personal travel and health insurance.

Applicable Laws and Competence

If no agreement can be reached, any dispute related to the commercial relation will be taken in charge by the exclusive competence of the Luxembourgish juridiction.
